Important

As we integrate the OneTrust and Convercent Ethics and Compliance product lines, we will temporarily have information that lives in the myOneTrust and Converge communities and knowledge bases. This article is relevant for Helpline & Case Manager. You can create and customize Ethics Portals to empower anonymous whistleblowers and other users to submit accounts of alleged ethics violations. These portals guide a user through case creation and anonymous submission so an internal compliance team can triage, investigate, and respond to cases received by their organization.

To create a new portal

  1. On the Whistleblower and Ethics menu, select Setup > Ethics Portals. The Ethics Portals screen appears.

  2. Click the Add Portal button. The Create New Ethics Portal screen appears.

  3. Complete the fields, then click the Create button. For more information, see Create New Ethics Portal Screen Reference.

Field

Description

Ethics Portal Name

Enter a name for the new portal.

Fulfillment Workflow

Select which workflow will process submitted cases for this portal.

Intake Form

Select which intake form users will be directed to for this portal. For more information on intake forms, see Setting Up an Intake Form.

Default Approver

Select one or more assignees to serve as the case admin(s). For more information on case admins and access controls, see Managing Case Access Controls.

Days to Respond

Enter the number of days until the case deadline for the compliance team.

To customize the portal branding

  1. On the Whistleblower and Ethics menu, select Setup > Ethics Portals. The Ethics Portals screen appears.

  2. Select an Ethics Portal. The Ethics Portal customization screen appears.

  3. Click the Branding tab.

  4. Customize the portal's look and feel to align with your organization's branding standards. For more information, see the following:

  5. Click the Save button.

  6. Click the Publish button to enact your change on the live form.

Header & Logo

Description

Favicon

Upload a file to customize the portal's favicon image, which will appear in the browser tab.

Header Logo

Upload a file to customize the portal's header logo.

Header Color

Select a color for the portal header.

Footer

Background Color

Select a color for the footer's background.

Footer Text

Enter foot text for the portal. Providing contact information for your organization in this space is a useful recommendation.

To edit the portal settings

  1. On the Whistleblower and Ethics menu, select Setup > Ethics Portals. The Ethics Portal screen appears.

  2. Select an Ethics Portal. The Ethics Portal customization screen appears.

  3. Click the Settings tab.

  4. Configure the portal settings, as necessary. For more information, see Portal Settings Screen Reference.

  5. Click the Save button.

Field

Description

Name

Enter a name for the new portal.

Intake Form

Select which intake form the portal will use to receive case submissions.

Default Case Workflow

Select which workflow will process submitted cases for this portal.

Default Case Admin

Select one or more assignees to serve as a case admin for the portal. For more information on case admins and access controls, see Managing Case Access Controls.

Days To Respond

Enter the number of days to set the deadline of the case for the compliance team.

Enable Additional Languages in Portal

Enable this setting to allow additional language options for users to select in the Ethics Portal. For more information, see Enabling Languages in Ethics Portals.
